The terms that govern use of Relay Wire.

These terms describe customer responsibilities, service use, subscriptions, data handling, and important limitations.

1. Agreement to terms

These Terms and Conditions govern access to and use of Relay Wire, including the website, portal, product features, trials, demos, subscriptions, support, and related services. By using Relay Wire, you agree to these terms on behalf of yourself or the organization you represent.

If you use Relay Wire for an organization, you represent that you have authority to bind that organization. If you do not agree to these terms, do not use Relay Wire.

2. Service description

Relay Wire provides cloud-based tools for fax record management, archive and search, delivery confirmation, audit history, routing, filtering, alerts, proof packet generation, and related workflow features. Available capabilities depend on the selected plan, configuration, customer setup, and written account terms.

Relay Wire is designed to add a record layer around business fax workflows. It is not a replacement for customer compliance programs, legal review, telecommunications provider obligations, or internal records management policies.

3. Eligibility and account authority

You must be at least 18 years old and authorized to use Relay Wire for business purposes. You are responsible for accurate account information, authorized users, account configuration, and keeping account credentials secure.

You are responsible for all activity that occurs under your account, including activity by employees, contractors, administrators, and other authorized users.

4. Demos, trials, and onboarding

Relay Wire may offer demos, trial accounts, pilot access, or onboarding support. Trial access may be limited by time, features, volume, retention, users, or other restrictions. Relay Wire may modify, suspend, or end a trial at any time.

Information submitted through demo and trial forms must be accurate and submitted by someone authorized to discuss the organization’s fax workflow.

5. Plans, subscriptions, and billing

Plan features and pricing are described on the website, in the portal, in an order form, or in written account terms. Paid subscriptions may be billed monthly, annually, or as otherwise agreed. Fees are due according to the applicable billing terms.

Unless a written agreement states otherwise, fees are non-refundable to the maximum extent permitted by law. Customers are responsible for applicable taxes, provider charges, telecommunications charges, and third-party costs not expressly included in the Relay Wire plan.

6. Renewals, changes, and cancellations

Subscriptions may renew according to the selected billing period or written account terms. Customers are responsible for cancelling before renewal if they do not want service to continue. Plan changes may affect pricing, available features, archive retention, user access, alert channels, support level, and other service capabilities.

7. Customer responsibilities

You are responsible for your fax workflows, users, customer relationships, account configuration, data, retention needs, routing decisions, compliance obligations, and lawful use of the service. You must ensure that your use of Relay Wire complies with applicable laws, contracts, telecommunications rules, privacy obligations, fax rules, industry requirements, and internal policies.

You are responsible for reviewing records, exports, alerts, routing queues, and proof packets before relying on them in a customer, legal, regulatory, billing, claims, audit, or dispute context.

8. Acceptable use

You may not use Relay Wire to send, store, process, route, or support unlawful, abusive, harassing, infringing, deceptive, harmful, unauthorized, or malicious content or activity. You may not use Relay Wire to violate fax, telecommunications, privacy, consumer protection, export, sanctions, anti-spam, or data protection laws.

You may not interfere with the service, attempt unauthorized access, bypass security controls, probe systems, reverse engineer the service, upload malware, overload the platform, misuse support channels, or use Relay Wire in a way that harms Relay Wire, customers, users, or third parties.

9. Fax, telecommunications, and consent obligations

Customers are responsible for the legality of their fax communications and for obtaining any required permissions, consents, authorizations, notices, or approvals. Relay Wire does not determine whether a fax communication is legally permitted, whether a recipient has consented, or whether a customer’s fax workflow satisfies a particular law or industry rule.

10. Customer data

Customers retain ownership of their fax content and customer data. Customers grant Relay Wire the rights needed to host, process, transmit, store, index, search, display, route, secure, support, retain, delete, and export customer data as needed to provide the service and related support.

Customers represent that they have the rights and permissions needed to submit customer data to Relay Wire and to instruct Relay Wire to process that data.

11. Privacy and data processing

Relay Wire’s handling of personal information is described in the Privacy Policy. Customers are responsible for providing required notices to their users, employees, customers, vendors, patients, clients, partners, and other individuals whose information may be processed through their fax workflow.

12. Security and account access

Relay Wire uses safeguards designed to protect the service, but no service is perfectly secure. Customers are responsible for managing users, permissions, credentials, devices, internal access, downloaded files, exported proof packets, and records after they leave the Relay Wire environment.

Customers must promptly notify Relay Wire of suspected unauthorized access, credential compromise, or security issues involving their account.

13. Third-party providers and infrastructure

Relay Wire may interoperate with customer fax providers, telecommunications infrastructure, internet providers, hosting providers, email providers, payment processors, analytics tools, support tools, software integrations, or other third-party systems. Relay Wire is not responsible for third-party systems outside its control, including outages, configuration issues, provider changes, data handling practices, or failures caused by customer infrastructure.

14. Service availability, maintenance, and changes

Relay Wire aims to operate reliable services, but does not guarantee uninterrupted, error-free, or delay-free availability unless a separate written service level agreement says otherwise. We may modify, suspend, or discontinue features to improve the service, maintain security, address operational needs, comply with law, or manage third-party dependencies.

Planned maintenance, if any, may be posted on the website, status page, portal, or communicated through another appropriate channel.

15. Support

Support availability, response targets, and support channels depend on plan level and written account terms. Customers must provide accurate information reasonably needed to investigate support requests, including account details, affected users, timestamps, provider information, and steps to reproduce an issue.

16. Compliance disclaimer

Relay Wire is general business fax record infrastructure. Unless expressly agreed in writing, Relay Wire does not represent that the service satisfies any specific regulatory framework, certification, audit standard, healthcare requirement, financial services requirement, legal hold requirement, business associate obligation, or industry-specific compliance obligation.

Relay Wire does not provide legal, compliance, medical, financial, tax, or professional advice. Customers should consult their own advisors regarding their obligations.

17. Confidentiality

Each party may receive non-public information from the other. The receiving party will use reasonable care to protect confidential information and use it only for purposes related to Relay Wire, unless disclosure is authorized by the disclosing party or required by law.

18. Intellectual property

Relay Wire, the website, software, designs, workflows, trademarks, content, documentation, and related intellectual property are owned by Relay Wire or its licensors. These terms do not transfer ownership of Relay Wire intellectual property to customers.

Customers may not copy, modify, create derivative works from, resell, sublicense, or commercially exploit Relay Wire except as expressly allowed by written account terms.

19. Feedback

If you provide suggestions, ideas, requests, or feedback about Relay Wire, you grant Relay Wire permission to use that feedback without restriction or compensation, provided we do not disclose your confidential information in doing so.

20. Beta and preview features

Relay Wire may offer beta, preview, experimental, or evaluation features. These features may be incomplete, changed, suspended, or discontinued at any time and may not be covered by the same support, reliability, or availability commitments as generally available features.

21. Suspension and termination

Relay Wire may suspend or terminate access for nonpayment, security risk, suspected misuse, unlawful activity, violation of these terms, third-party provider issues, or operational needs. Customers may terminate according to the applicable plan or written agreement.

After termination, access to the service may stop and customer data may be deleted or retained according to the Privacy Policy, plan terms, legal obligations, backup practices, and written account terms.

22. Disclaimers

Relay Wire is provided on an “as is” and “as available” basis to the maximum extent permitted by law. We disclaim warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted availability, error-free operation, and any warranties arising from course of dealing or usage of trade.

23. Limitation of liability

To the maximum extent permitted by law, Relay Wire will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, lost profits, lost revenue, lost data, loss of goodwill, business interruption, or costs of substitute services.

To the maximum extent permitted by law, Relay Wire’s aggregate liability for all claims is limited to amounts paid to Relay Wire for the service during the twelve months before the event giving rise to the claim, unless prohibited by law or modified by a written agreement signed by Relay Wire.

24. Indemnity

You agree to defend, indemnify, and hold Relay Wire harmless from claims, damages, liabilities, losses, costs, and expenses arising out of your use of the service, customer data, account configuration, unlawful activity, violation of these terms, violation of law, or violation of third-party rights.

25. Governing law and venue

These terms are governed by the laws of Texas, without regard to conflict of law principles, unless applicable law requires otherwise. Courts located in Texas will have jurisdiction unless a written agreement states otherwise or applicable law requires another venue.

26. Changes to terms

Relay Wire may update these terms from time to time. Updated terms will be posted on this page with a revised effective date. Continued use of Relay Wire after updates means you accept the updated terms.
