1. Introduction
Relay Wire provides cloud-based fax record, search, routing, proof, filtering, alerting, and related account services for businesses. This Privacy Policy applies to relaywire.app, the Relay Wire website, demo and trial requests, sales and support interactions, the Relay Wire portal, and related product services.
Relay Wire is primarily a business-to-business service. If you use Relay Wire through your employer, client, or organization, that organization may control the account, users, records, settings, retention, and access permissions associated with the service.

2. Information we collect
We may collect business contact and account information, including name, business name, job role, email address, phone number, business address, fax number, plan interest, billing details, demo details, trial details, and communications with our team.
When customers use Relay Wire, we may process fax documents, fax content, inbound and outbound fax metadata, sender and recipient information, fax numbers, timestamps, page counts, delivery status, routing status, proof packet details, archive details, user activity, portal activity, access logs, support records, configuration settings, and related operational records.
We may also collect technical information such as IP address, browser type, device information, pages visited, approximate location derived from IP address, cookie identifiers, log data, security events, and diagnostics needed to operate, secure, monitor, and improve the website and service.
3. Categories of information processed
The categories of information we may process include business identifiers, contact information, commercial and billing information, customer communications, fax content, fax metadata, account credentials, user and administrator activity, device and network information, support information, security logs, and service configuration data.
Relay Wire may process sensitive or regulated information only when a customer or authorized user submits that information through a fax workflow or service interaction. Customers are responsible for determining whether the service is appropriate for the types of records they choose to send, store, route, or export.
4. How we use information
We use information to provide, operate, secure, maintain, support, and improve Relay Wire. This includes creating accounts, responding to demo and trial requests, routing fax activity, maintaining searchable records, providing delivery confirmation, generating proof packets, sending alerts, supporting users, managing billing, preventing abuse, troubleshooting issues, monitoring uptime, and communicating about product, account, security, billing, or support matters.
We may use aggregated or de-identified information to understand service performance, improve product reliability, plan capacity, analyze trends, and improve website content. Aggregated or de-identified information is not intended to identify a specific person or customer.
5. Customer fax data
Customers retain ownership of their fax content and customer data. Relay Wire processes customer fax data to provide the service, including hosting, indexing, searching, routing, displaying, securing, supporting, retaining, deleting, and exporting records according to the selected plan, customer configuration, and written account terms.
Relay Wire does not sell customer fax data. Relay Wire does not use customer fax content for third-party advertising profiles, cross-context behavioral advertising, or model training.
6. Cookies and website technologies
Relay Wire uses cookies, local storage, and similar technologies to operate the website, remember cookie choices, support security, maintain preferences, understand aggregate website activity, and improve site performance. Essential technologies are used to provide core site functionality.
If optional analytics or marketing technologies are used, they are intended to help us understand website performance, improve content, and measure interest in Relay Wire. Visitors may use the cookie banner to accept cookies or choose essential-only settings where available.
7. How information is shared

Third-party services are governed by their own terms and privacy practices. Relay Wire is not responsible for third-party systems outside its control.
9. Retention
Fax record retention depends on the selected plan, customer configuration, and written account terms. Essential is designed around recent history, Professional around longer operational history, and Enterprise around configured retention needs.
We retain account, billing, sales, support, security, and operational records for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, support audits, and operate our business. Backup and log data may persist for a limited period after deletion from active systems.
10. Security
Relay Wire uses administrative, technical, and organizational safeguards designed to protect information. These may include access controls, encryption in transit and at rest where appropriate, logging, monitoring, backup practices, internal access limitations, account controls, and vendor review practices.
No method of transmission, storage, or processing can be guaranteed perfectly secure. Customers are responsible for protecting their own credentials, devices, internal networks, exported records, and user access decisions.
11. Customer responsibilities
Customers are responsible for managing authorized users, assigning permissions, safeguarding credentials, configuring retention and routing decisions, reviewing exported records, and determining whether Relay Wire is suitable for their legal, regulatory, contractual, and industry requirements.
Customers should not submit information to Relay Wire unless they have the right to do so and have provided any notices, obtained any consents, and completed any internal reviews required by applicable law, contract, or policy.
12. Privacy rights and choices
Depending on location, individuals may have rights to request access, correction, deletion, portability, restriction, objection, or opt-out of certain uses of personal information. Requests can be sent to team@relaywire.app. We may need to verify the request before responding.
If the information relates to an organization account, we may direct the request to the customer that controls the account or process the request according to that customer’s instructions.
13. U.S. state privacy disclosures
Relay Wire does not sell customer fax data. Relay Wire does not use customer fax content for targeted advertising. If applicable state privacy laws provide additional rights, eligible individuals may contact us at team@relaywire.app to submit a request.
We may disclose personal information to service providers for business purposes such as hosting, security, communications, support, payment processing, analytics, operations, and compliance.
14. Children
Relay Wire is not directed to children and is intended for business use by adults. We do not knowingly collect personal information from children through the website or service.
15. International processing
Relay Wire is operated from the United States. Information may be processed in the United States and other locations where Relay Wire or its service providers operate. By using the service, customers understand that information may be transferred to and processed in those locations.
